One process, one owner in the office, and an agreed way to check the result: complete enquiry records, fewer missed follow ups, or time saved on a repeated task.
A useful starting point.
A useful first conversation covers your call volume in a busy week, how estimates are sent today, and which software holds the customer and equipment records. Screenshots or a short screen recording are enough to begin scoping.
I work remotely with companies in the United States and worldwide. You work directly with me on the scope, the implementation, and the handoff, and we agree working hours and any ongoing support for the engagement.
The build cost depends on the systems involved, the quality of the information in them, and the review your office needs. Any estimate of value should include staff review time, tool subscriptions, and maintenance. Recovered hours are not automatically a cash saving.

Can an AI answer our calls?
An assistant can collect the enquiry details, answer standard questions, and hand an urgent call to a person. Whether it should book directly into your schedule depends on your dispatch rules and the software you use, so we define that boundary first.
Will this work with ServiceTitan, Housecall Pro, or Jobber?
Each platform exposes different data and automation features. We start from what your account already does and connect around it through supported APIs or integrations. Some actions may need to stay inside the platform.
How do we avoid annoying customers with automated messages?
Follow up sequences use the actual quote, stop as soon as the customer responds or books, and respect opt outs and quiet hours. Anything beyond a reminder is drafted for a person to approve.
Where should an HVAC company start?
Usually with estimate follow up or enquiry intake, because both have a clear owner, repeatable inputs, and a result you can count. Maintenance renewals come next once the customer records are reliable.
