From the first question
to the permit file.

Practical AI and workflow automation for septic installation, pumping, and inspection companies with paperwork on every job.

A good fit when…

Septic work combines a customer who does not know what they need, a property with its own constraints, and a regulator who wants the paperwork in order. Automation helps by collecting the right information in stages, keeping the job record complete, and preparing the repeated documents for a person to check.

Customers ask before they understand the job
A homeowner or builder asks for a price before knowing the lot size, soil, bedrooms, or system type. A staged estimate keeps the conversation useful while the details arrive.
Pumping and inspections repeat on schedules
Maintenance contracts, pumping intervals, and inspection due dates are predictable revenue that only works if someone acts on the calendar.
Every installation has a paper trail
Permits, site evaluations, inspections, and as built records repeat from job to job with different values. Retyping them costs time and invites errors.

What we can build.

Staged installation estimates
Collect the first answers on the website or by phone, produce a planning range, then carry the later details into the same record instead of a second, separate enquiry.
Pumping and maintenance schedules
Read service intervals and contract dates, send reminders and booking prompts, and record responses so the office knows who is scheduled and who needs a call.
Permit and inspection paperwork
Prepare repeated forms from confirmed job fields, keep them attached to the property and the job, and record who reviewed each document before it is filed.
Bilingual enquiries
Handle English and Spanish questions with the same qualification rules, carry the language into the record, and hand the conversation to a person who can continue it.

How the work takes shape.

  1. 01Follow one installation and one pumping job

We trace both from first contact to the final document, noting where information is retyped, waits, or depends on one person.

  2. 02Check the native features and the county requirements

Your field service software and your local permitting process both set constraints. We design around what they require rather than around a generic template.

  3. 03Deliver one bounded improvement

A first version with a clear owner in the office, tested on real enquiries, and measured on complete records and time saved.

A typical engagement, adapted to the process and its constraints.

Related implemented work.

The estimate journey case study shows a bilingual website intake for a home service business, where a first planning estimate and a later refinement update the same contact and opportunity records through n8n and GoHighLevel.

The document automation case study shows the paperwork side: controlled inputs, deterministic field mapping, human confirmation, and validated output. Both patterns apply directly to septic installation and permit files.

A useful starting point.

A useful first conversation covers how estimate requests reach you, what a complete job file contains, and which tools hold your customers and schedules. A recent job file with the customer details removed is a good starting point.

I work remotely with companies in the United States and worldwide. You work directly with me on the scope, the implementation, and the handoff, and we agree working hours and any ongoing support for the engagement.

The build cost depends on the systems involved, the quality of the information in them, and the review your office needs. Any estimate of value should include staff review time, tool subscriptions, and maintenance. Recovered hours are not automatically a cash saving.

This page describes a proposed application of home service and document automation work I have implemented, including a staged website estimate journey for a home service business. It is not a claim of past delivery for your company, and it does not replace the licensed professional responsible for design, installation, and permits.

Before we begin.

Can you give a septic estimate automatically?

The system can collect the inputs and produce a planning range from rules you approve, then hand the refined details to your estimator. It does not replace the site evaluation or the licensed design.

Can it prepare our permit forms?

It can fill repeated forms from confirmed job fields and keep them attached to the job for review. The responsible person still checks and files each document.

Do you support Spanish speaking customers?

Yes. My implemented work includes English and Spanish enquiry flows with the same qualification rules and a clear handoff to a person.

Which tools do you work with?

Whatever your office already uses for scheduling, invoicing, and customer records. We assess the account and its integrations first, then connect around them.
